Legislation

It is a legal requirement that we process data correctly; we must collect, handle and store personal information in accordance with the relevant legislation.

What information may we collect and how do we obtain this?

We may collect personal information that can identify you such as your name, email address, phone number and address. This is obtained when you contact us for purposes including arranging a property viewing, if you are interested in letting your property through us, new property alerts, newsletters or general enquiries. 

We may also obtain:

  • FOR TENANTS Any information provided on application for a property such as  (job history/financial records/bank details/references/proof of sufficient funds/) 
  • FOR LANDLORDS Insurance and registration details, evidence of right to let the property, details related to your property including photographs, floor plans, home reports

How is your information collected?

All personal information will be provided by you directly. This may be through our online contact form, in email correspondence and on any forms or contracts you may fill in as a client. 

How will we use this information?

  • To respond to enquiries or requests
  • To notify you of changes to our services
  • To arrange property viewings or process tenancy applications
  • To improve and optimise the website and business services
  • For advertising and analytical purposes
  • In connection with our legal rights and obligations
  • For certain additional purposes but only with your consent

If you become a client of Bho and Co. as a landlord or tenant we will also use your information to carry out your obligations arising from contracts entered into and for daily administrative and business purposes.

Where is this information stored?

By submitting your personal information, you consent to the processing and storage of this data. We aim to run as a paperless company with all information stored electronically. We ensure that your data is held securely by using password protection and designated drives and servers as required. Any information we may hold on paper is held securely where unauthorised personnel cannot access it. When personal data is no longer required it will be securely deleted or disposed of. 

Who has access to your information?

Aside from employees of Bho and Co Property Ltd who are thoroughly trained in current legislation in relation to data processing, your information may also be shared with various third parties for numerous reasons in order that day to day activities are carried out in accordance with our relevant policies and procedures.  In order that we can monitor compliance by these third parties with data protection laws, we will require the third-party organisations to enter into an agreement with us to govern the processing of data, security measures to be implemented and responsibility for breaches.

We share data to the following types of company for the following purposes.

  1. Providers of tenant referencing for referencing
  2. Providers of financial advice, insurance and protection products
  3. Software platforms to facilitate email marketing
  4. Property CRMs in order to manage your data
  5. Financial software for the processing of rent
  6. Website hosting companies for website hosting
  7. Property specialist advisors for specialist advice
  8. Block Management service providers for block management services
  9. Telephone answering service and online chat providers
  10. Internal client CRM for client management services
  11. Accountancy software in order to fulfil our contracts for accounting services
  12. Information that other parties to the contracts and or their legal representatives require, for example on tenancy agreements and sales agreements
  13. Contractors for necessary maintenance and safety certificates

We will ask for your consent to send you any marketing materials. You can opt out at any time.

Your rights

Under GDPR you have the right to access personal information held about you and to correct, delete and/or block data we hold about you if that data proves to be factually inaccurate, incomplete or irrelevant to the purposes of the processing.
